Thank you for choosing to partner with us. These terms are designed to ensure a transparent, efficient, and mutually beneficial working relationship. Kindly review the conditions outlined below.
1. Cash on Delivery (COD) & Delivery Coverage
We currently provide Cash on Delivery (COD) services in the following locations:
- Accra
- Kasoa
- Tema
- Kumasi
- Takoradi
- Cape Coast
- Sunyani
- Tamale
- Koforidua
- Ho
- Tarkwa
- Winneba
Important Note on COD:
- To enable COD deliveries in the above locations, vendors must expressly authorize SCS to transport products via bus services where applicable. All bus transportation costs shall be borne by the vendor.
- For destinations where SCS does not have a physical operational presence, customers are required to make full payment prior to dispatch.
- Where a vendor instructs SCS to deliver items to an out-of-area customer without first collecting payment for the item, SCS will comply with the request; however, SCS shall not be held liable for any inconvenience, loss, or financial exposure arising after dispatch.
2. Storage & Inactivity Charges
2.1 Storage Fees
- All products stored at SCS facilities are subject to monthly storage charges.
- Storage fees are calculated based on the volume occupied by the products, measured in Cubic Metres (CBM).
- The applicable rate per CBM will be communicated separately and agreed upon with the vendor.
- A fixed monthly fee of GHS 50 applies for standard packaging materials. Vendors may supply their own packaging materials to waive this charge.
2.2 Non-Active Vendor Status
To ensure optimal use of storage space, the following policy applies:
- A vendor will be classified as non-active if no orders are submitted for a continuous period of two (2) months.
- Once classified as non-active, the vendor's storage fees will attract additional penalty charges.
- The revised storage rate will be formally communicated to the vendor at the end of the second month of inactivity.
3. Orders and Payment Processing
Orders
- All orders must be uploaded onto the SCS website no later than 8:00 AM where SCS is responsible for managing customer calls. This enables timely customer confirmation, proper packaging, and prompt dispatch to ensure guaranteed delivery.
- Where the vendor is responsible for handling customer calls, only confirmed orders must be uploaded to the system no later than 9:00 AM.
- All order updates and status changes will be communicated and tracked exclusively through the dashboard.
Payment Processing
All vendor payment requests will be reviewed and approved within 24 hours after submission through the designated payment portal.
4. Order Confirmation & Customer Follow-Ups
SCS offers order confirmation and customer follow-up services as a paid add-on. The service is charged at GHS 1 per call, and all applicable charges are calculated and deducted at the end of every month.
Vendors who already have SCS internal representatives handling these responsibilities may continue using their existing arrangements.
5. Working Hours
Our operational hours are as follows:
Monday to Saturday
7:30 AM – 4:00 PM
6. Vendor Responsibilities
- Product Quality & Compliance: Vendors are solely responsible for the quality, accuracy, and legal compliance of all products stored, sold, and dispatched through SCS.
- Inventory Accuracy: Vendors must maintain accurate inventory records and promptly notify SCS of any changes to stock levels to avoid fulfillment errors.
7. FDA Approval & Regulatory Compliance
- All products that require approval or registration with the Food and Drugs Authority (FDA) of Ghana must be duly registered prior to submission to SCS.
- Vendors are required to provide valid FDA registration certificates or approvals for all applicable products.
- SCS will not accept, store, dispatch, or deliver any products that are not FDA approved where such approval is legally required.
- Any losses, penalties, or regulatory actions arising from non-compliance shall be the sole responsibility of the vendor.
